Head of IT System Administration (m/w/d)
Job Description
Your tasks:
- Security, Compliance & Governance
- Own IT security for servers, end-user devices, and networks across all locations
- Implement and enforce security policies and best practices; coordinate with relevant stakeholders to ensure compliance with applicable standards
- Maintain alignment with portfolio cybersecurity standards and provide required reporting
- Infrastructure & Network Operations
- Manage the network infrastructure, including routers, WLAN, VPN, routing, and connectivity to cloud networks and additional sites
- Oversee site networks in Germany (Berlin, Selmsdorf) and support remote sites in Sweden (Örebro) and Norway (Sandefjord), including periodic visits
- Manage contracts for internet and telecommunications at all sites
- Ensure infrastructure maintenance, patching, backups, and upgrades for hardware and software systems
- Administer vCenter environments in Selmsdorf and Berlin, including maintenance and backups
- Identity, Tools & Platforms
- Manage user and identity administration across the Rapid Group (Hybrid Active Directory for Berlin/Selmsdorf; Entra ID–only for remaining entities)
- Own administration of group-wide tools and services (e.g., Microsoft 365, SharePoint, RingCentral, Notion, Bitwarden)
- Plan and deliver tool introductions, consolidations, and upgrade initiatives
- Vendor, Asset & Cost Management
- Manage IT vendors and service providers.
- Oversee IT hardware inventory, lifecycle, and procurement (office technology, workstations, employee devices) across all sites
- Manage software purchasing and billing, including licence administration, invoice tracking, and approvals
- Processes, Knowledge & Cross-Functional Integration
- Own and continuously improve core IT processes, including onboarding/offboarding and access management
- Maintain the IT knowledge base (e.g., guides, runbooks, SOPs) to support efficient self-service and support.
- Partner with HR and adjacent teams to streamline joiner/mover/leaver workflows and timely provisioning/deprovisioning
- Continuous Improvement
- Continuously improve and automate IT operations to support an evolving international group structure
- Leadership & Service Management
- Provide disciplinary and technical leadership for the IT Operations team

Your skillset:
- Proven experience in IT operations
- First leadership experience
- Strong knowledge of infrastructure, networking, and IT security
- Experience with ITIL and compliance frameworks
- Excellent communication and problem-solving skills
- Fluency in German and English
